Less hassle and more flow, yes please. Flex HRM is a platform that never stops evolving – all to make your everyday admin a little smarter and a lot smoother. Here are the highlights from the 2025 releases.

1. Run Multiple Reports in One Go With New Report Packages – Perfect at Month-End

Payroll lists, vacation liability reports, bank files… the list never ends. And if you work with payroll or HR admin, you’ll recognise the feeling: the same reports, the same clicks, the same settings – month after month. And then the double and triple checks on top, because nothing is allowed to go wrong.

Wouldn’t it be nice if this part could run a little smoother? Now it actually does. Instead of manually generating one report at a time, you can now bundle all your key reports into a single, convenient Report Package. It’s a real time-saver – especially for bureaus handling payroll for multiple companies.

2. Sharpened SmartDetect – Your AI Colleague That Catches Payroll Errors

As a payroll specialist, you know how many details have to add up in every payroll run – and how time-consuming it is to double-check everything manually. That’s why we created SmartDetect, the AI tool that spots errors before they show up on the employee’s payslip.

By recognising patterns in previous payroll data, SmartDetect reacts when something stands out – such as an unusually high or low amount, or a missing pay code – and alerts you directly in the payroll preparation view. In 2025, after a successful pilot phase, we made SmartDetect available to all customers. Since then, we’ve continued to fine-tune the tool and added four new types of alerts.

3. Meet Flexie – The Built-In AI Chatbot That Shows You the Way

You know that feeling when you’re in a system, just trying to get something done, but end up lost in menus and settings. That’s exactly why we built Flexie – the AI chatbot that helps you move forward in no time.

Simply open the chat window, type your question in your own words, and Flexie will either show you the answer directly or guide you to the right place in the system.

And we’re not stopping there. In the next phase, Flexie will also act as an agent and perform tasks you ask her to do – like clocking you in for the day or submitting a leave request. Stay tuned!

4. Tailor-Made Reports in the Report Generator – Now With Even More Smart Options

When the standard reports in the system don’t quite get you all the way, you need an easy way to build your own – exactly the way you want them. That’s where the Report Generator comes in: a tool that lets you combine different data sources and create custom reports tailored to your organisation’s needs.

We’re continuously polishing, improving and adding features that make the Report Generator even more versatile and powerful. The latest additions are these new data sources:

Absence
See how many absence periods each employee has had over the past year, what share of sickness absence is short-term, and how reoccurring sickness looks. Perfect if you need a clear overview and want to follow up on absence data in a more structured way. Read more here.

Debts
You can now build reports for vacation debt, ATK/ATF debt and accumulator-based debt (such as time-off-in-lieu balances) and get a complete overview directly in the Report Generator. Read more here.

AGI – Individual-Level Data
Create reports based on the same fields used in the Swedish employer declaration at individual level (AGI): gross salary, benefits, taxes, employer contributions and more. Best of all? This data source can be used in your Report Packages. That means you no longer need to manually produce the AGI basis every month – simply let the report generate automatically together with your other monthly reports. Read more here.

5. Easily See When You’ve Worked Your Scheduled Hours

What time can I go home today? If you register your time per day and have flexitime, the new Scheduled Time Reached field now gives you the answer.

It automatically calculates the exact time of day when you’ve worked your scheduled hours – based on your actual registrations. Did you arrive a bit early or take a shorter lunch? Your end time is adjusted accordingly, without you having to do the math yourself.

A small but much appreciated helper for anyone who reports their time, plain and simple.

6. Smart News for Group Companies: Move Employees Between Legal Entities Without the Hassle

When an employee transfers to another company within the group, it shouldn’t mean a mountain of extra work. Yet you know how much manual effort it often takes – and how easy it is for something to be missed along the way. Now we’re making that process much simpler.

With the new option to move employees between legal entities, all core data is carried over automatically. In just a few clicks, you create a new employment with the right information in the right place from day one.

7. Smoother Handling of Home Office Expenses

Expenses come in many shapes and forms, and in Flex HRM Travel & Expense we want the handling to be smooth regardless of type. For many expense types, a fixed limit per occasion or per month is enough, while others work differently. One example is home office equipment, where an employee often has the right to a total amount over the entire employment.

To simplify this, we’re introducing a new type of limit: Ongoing. It helps you keep track of long-term maximum amounts and alerts you when something is about to exceed the allowed total.

In short, a small but clever enhancement that makes expense management even more compatible with real life.

8. Copy Vacation Agreements and Pay Codes Between Companies (And Reduce Errors and Double Work)

If you manage several companies, you know how much time can disappear into the trickier parts of the setup – such as vacation agreements and pay codes. There are many details to keep track of, and it’s often the same tasks being repeated again and again. So we decided to make this much smoother for you.

With the new copy function, you can take an existing setup (one you know is quality-assured and correct) in one company and transfer it to another company in just a few clicks.

In other words, a new feature well worth exploring if you want to save time and secure quality and consistency across all your companies.

9. Easier GDPR Compliance With Automatic Deletion of Personal Data

Deleting personal data at the right time is a key part of GDPR, but it often becomes manual and time-consuming. We’re now making it easier with automatic deletion when an employee leaves the company.

For the moment, there is support for deleting:

  • Next-of-kin information

  • Bank account details

Over time, this functionality will be expanded to cover more types of personal data – making it easier for you to work in a GDPR-compliant way in your day-to-day routines.

Make Pay Equity and Pay Transparency Easier to Handle

The countdown is on. The EU Pay Transparency Directive will become Swedish law in 2026, and to help you meet the new requirements with confidence, we’re now enhancing our support for pay equity analysis in Flex HRM.

Some of the upcoming news:

  • An updated interface and clearer workflow

  • Extended analytics to identify pay gaps linked to, for example, parental leave

  • Support for managing job architecture, reporting and transparency

Simplified Reporting to Bygglösen – Soon Directly in Flex HRM Payroll

Reporting to Bygglösen is a must in the Swedish construction sector – but often time-consuming and full of manual steps. That’s why Flex HRM Payroll will soon include a tool that speeds up and automates the process.

Support for Bygglösen 1.0 (time-based pay) will be released first, followed by Bygglösen 2.0 (performance-based pay). We’re looking forward to sharing more details soon!
