Bringing everything onto the same platform – that was the goal when Kvänum kök were looking for a new personnel system. Carolina Cederqvist, the HR manager, explains how the comprehensive solution Flex HRM has become an important part of the business.

It all began over 100 years ago in Kvänum, Västergötland, where the company established itself as a pioneer in exclusive woodworking. Today, they combine long-standing tradition with innovative solutions to create bespoke kitchens, bathrooms, and storage solutions, always with an eye for detail and sustainable quality. Here, Carolina Cederqvist works as the HR manager with overall responsibility for Flex HRM.
– I work with all parts of Flex, both in terms of payroll, time, and travel, but also use Flex for personnel matters, such as setting up training and competencies. We also have the pay survey module and salary revision module.
Since 2019, when they started using Flex HRM Travel and Flex HRM Employee, more modules have been added, says Carolina.
– In September 2021, we processed the first payroll with Flex HRM Payroll, and we also started time reporting via Flex HRM Time.
Time Reporting via Time Clock and App
Overall, both managers and employees find Flex HRM smooth to work with, Carolina explains. The employee groups using the system include both blue-collar workers and salaried employees who utilize the different parts in slightly different ways.
– They clock in via both the time clock and the app, and in the app, they can also view their payslips, balances, and schedules, as well as apply for leave. They can also manage their expenses directly in the app by simply photographing the receipt and allowing the system to automatically read, for example, the date, amount, and VAT, making it super convenient! Depending on the employee group, it varies who marks the times as complete, but it's the leader who approves, and then I finalize and process it for payroll.
Having everything in one place is definitely the best part – you save time by not having to enter the same information multiple times.
The employee register also has a flexible authorization system, and Carolina explains that she has chosen to divide the responsibility between herself and the managers regarding who is responsible for registering different types of information.
Good Support During the Implementation Process
Carolina is satisfied with the ongoing support and finds it quick and smooth to get answers to her questions. She also describes the implementation process as successful.
– It went very well. When we were about to fully incorporate Flex HRM, we were looking for someone who knew everything, as it's invaluable to have someone who understands how everything fits together. That's when we got Karin Svedberg as the application consultant.
Before choosing Flex HRM, Kvänum Kök used separate systems for time tracking and payroll. There was no travel expense system at all, so that part had to be handled manually. The benefits of starting to use Flex HRM are many, she says.
– What I wanted was everything in the same system, with the same supplier, and without intermediaries. Having everything in one place is definitely the best part – you save time by not having to enter the same information multiple times. I also think the salary revision and salary mapping modules work really well. And having employee reviews in the same system is just great – it’s so convenient to have everything in one place!
The support also works well when needed, adds Carolina.
– In the beginning, it was an adjustment that you could only call in the morning, but now I’m used to it. In the afternoon, you can write instead, and they call back if a conversation is needed.
When asked if Carolina would recommend Flex System to others in the industry, she answers without hesitation: Absolutely!
