Preparations, job evaluation, analysis, documentation… The many elements of the pay equity analysis can make it both tricky and time-consuming. But, with the right tools, the process can be much easier. At the beginning of 2023, the long-awaited function Pay Equity Analysis will be released in the personnel system Flex HRM – a system support that will guide you through all stages of the pay equity analysis.

What Is a Pay Equity Analysis?

According to the Swedish Discrimination Act, all employers are obliged to perform a pay equity analysis once a year. To perform a pay equity analysis means that you, as an employer, investigate wage differences between women and men who perform similar or equal work. The pay equity analysis is used to discover, remedy, and prevent unfair gender differences in pay and should be disclosed to the Equality Ombudsman (Diskrimineringsombudsmannen) upon request. Employers that don’t meet the legal requirements may be fined.

How Does It Work?

For the pay equity analysis to function correctly, several parties should cooperate and adopt a clearly defined structure. Being thorough the first time will pay off, as it will be beneficial when doing it the next time. In short, the process entails the employer and employee cooperating to compile pay agreements and practices, map and analyze differences in similar work, and map and analyze differences in equal work. The process should also be documented if the employer has ten employees or more.

At the beginning of 2023, we will release our new support for pay equity analysis. A long-awaited function that will be an integrated part of Flex HRM. We asked Linda Tesell, Product Manager for Flex HRM Employee, to tell us more about the new function.

– This is an essential tool for all employers out there, for them to be able to work for equal pay and against discrimination. By releasing this support, we want to encourage all employers to do the pay equity analysis work, but more importantly, we want to make it easier for them! Usually, the Pay Equity Analysis is time-consuming and complex, with many different elements to check off. But with help from this new support, the work will become much more accessible, Linda explains.

– You won’t have to struggle with moving data from one system to another any longer. Many out there don’t have support for pay equity analysis today and are using spreadsheets or similar. For them, the whole process will become much smoother. They avoid the hassle of working in different systems – and this is, of course, both time and cost-effective. The system already keeps track of everything for you, so when you want to do a new pay equity analysis, you can, with only one button click, get access to all the information you need – every employee, their salaries – and the correct numbers instantly! You can entirely focus on the analysis, and naturally this saves a lot of time.

It will also be easy to get started for those who don’t have a system for pay equity analysis yet:

– Of course we will provide templates so you can get going with relatively small means. Once you have made the preparations and the job evaluation one time, the data will be transferred to next year’s analysis – you don’t have to repeat the process every year.
